Conference Registration Information, Payment, Cancellations and Refunds

Q: How and When do I register for classes?

2013 Conference Registration opens on October 1, 2012. Registration should be submitted via US Mail to AnLiNa Designs, PO Box 514, Round Rock, TX 78680. Overseas attendees may contact ADAA to make alternative arrangements. Classes will be filled in order based on receipt of the registration form and payment. ADAA advises prospective attendees to indicate at least 2 class choices. ADAA will do our best to accommodate your first choice.

Q: How will I find out if I received my desired class selections?

ADAA will mail out your welcome packet and class supply list after receipt of your registration and payment.  Please watch the mail for your registration envelope!

Q: My significant other or a friend is coming with me, can they get ADAA meals?

ADAA offers meal packages for non-conference attendees. Please indicate which packages you would like to purchase on your registration form, along with any food  allergies.  It is very important that you tell us about any dietary considerations you have, such as dairy-free or gluten-free meals, so we can work with the hotel to cater to your needs.

Q: Does ADAA cancel classes? If so, why?

Each class has a minimum number of students needed for the class to make. ADAA's minimum student policy is if a class does not have a minimum of 7 students by June 30, 2013, ADAA reserves the right to transfer registered students to another class of their choice and cancel the class. Additionally, each teacher may have a minimum student policy as well. The class information page will provide the required minimum for the class to make.

Q: Is there a deadline to register?

To allow teachers to prepare materials for their classes, all registrations must be received prior to July 1.  ADAA does not process registrations after July 1.

Q: How do I pay for the conference? Does ADAA accept deposits?

ADAA accepts check or credit card payments through PayPal (subject to a 4% service charge). Registrants must provide a deposit of $100 to hold their class selection. Any registration received without a deposit will not be processed until the deposit is received.  Conference registration must be paid in full by June 30, 2013 to avoid incurring a $25.00 late fee. 

Q: How much does ADAA cost? What's included? What's not included?

The full ADAA Conference registration fee is $350.00. Conference attendees staying at the hotel will receive a $100.00 discount on their conference registration, if hotel registration is completed within 90 days of conference registration.

Your conference registration includes your class fees, lunch Friday, Saturday, Sunday, access to the opening reception, sales preview night, and conference banquet, and your welcome bag and attendee packet.

Your registration fee does not cover kit fees for classes, Friday dinner, or your hotel room.

Q: Is there a day rate?

After November 1st, ADAA will offer a single class rate of $125.00 for 1-day classes with open availability. This rate allows you to attend a single, 1-day class, and includes your class fee, lunch and your welcome bag. This rate is only available for a 1-day class. If you wish to take a 2-day class or take more than 1, 1-day class, the full conference rate applies. Priority will be given to attendees registering for the full conference. For 1-day registration, payment in full is required at registration and the standard cancellation policy applies.

Q: What if I have to cancel?

In the event that you are unable to attend the event, ADAA will provide a full refund if notification is received by June 15, 2013. Cancellations received after June 15, 2013 will result in a refund of the conference fee less the deposit.  It is your responsibility to cancel your hotel reservation.

Q: What if none of my classes are available?

ADAA will place you on a waiting list. At any time that you wish to take your name off the waiting list for a class, the cancellation policy will apply.

In the event that your class selections are unavailable, ADAA will notify you by June 1, 2013 and will provide alternative classes. If you elect not to attend, your refund will be subject to the standard cancellation policy.

In the event of a natural disaster or event of similar nature that prevents ADAA from holding the conference, ADAA will provide a full refund.

Q: Is there a deadline to purchase meal packages?

All food orders must be turned in 3 weeks prior to the event.  ADAA cannot accept additional orders after July 7, 2013.  There are no refunds for food orders canceled after this point.

Travel Information

Q: I'm driving to Austin. How do I get to the hotel?

The Wyndham Garden Hotel is located at 3401 South I35, Austin, TX 78741. Austin is 197 miles south of the Dallas/Fort Worth metroplex, 167 miles northeast of Houston, and 80 north of San Antonio. If you plan to drive, please let your ADAA know your travel plans.

Q: I want to fly to Austin, what do I need to know?

Austin is served by Austin Bergstrom International Airport (AUS). Ten airlines fly in and out of ABIA with 38 nonstop destinations.

The hotel is 5 miles from ABIA and provides a free shuttle to and from the airport. After picking up your baggage on the lower level, use the courtesy hotel phone to request the shuttle.

If you rent a car: Take a left (west) out of the airport on TX-71/ Ben White Blvd. Proceed 5 miles, take the Burleson/Todd/Woodward St exit.  Take a right on Woodward street and proceed 0.5miles to hotel, entrance is on the right-hand side.

Hotel Information

Q: Where is the hotel?

The Wyndham Garden Inn is located on the north-east corner of IH35 and Woodward Dr in Austin, TX.  The address is 3401 S. IH 35, Austin, TX 78741.

Q: What's the hotel like?

The Wyndham Garden Hotel and Woodward Convention Center is a 3-star hotel located 5 minutes from Austin Bergstrom International Airport, 10 minutes by car from downtown Austin, and close to a variety of museums, music venues, restaurants and Austin's eclectic South Congress retail district. The ADAA class rooms, exhibit space and sales room are a short walk from your room.

The Wyndham Garden Hotel amenities include complimentary parking, complimentary airport shuttle, outdoor swimming pool, bar (Happy Hour!) with outdoor patio, fitness center, Starbucks® coffee, and on-site restaurant.

Guest rooms include extra large workspaces, refrigerators (upon request for a fee), free high-speed internet and other amenities.

ADAA has a block of rooms available for a rate which includes breakfast.

Q: How do I reserve a room at the hotel?

Q:  Are there dining options in walking/driving distance from the hotel?

There is an on-site restaurant and bar at the hotel, but if you would like to experience Austin, we recommend driving to South Lamar (10 minutes) or to South Congress (5-8 minutes) and heading north.  There are a number of good restaurants in the SoLa and SoCo districts.  ADAA is going to add a bulletin board in the sales room for folks who would like to car pool for dinner on Friday night.

Unfortunately, there are no good restaurants in walking distance.

Q: What if I would like a roommate?

ADAA is happy to help you find a roommate. Please contact ADAA or indicate on your registration form that you need a roommate.

Q: What's the weather like in Austin, TX in July?

There are usually only two options for describing the weather in Austin in July: hot and humid or hot and dry. The weather can be highly variable from year to year, but in 2011 we set a new record for the number of days above 100 degrees at somewhere above 80.  The high temperatures can be anywhere from the mid-90's to mid-100's.  The average low temperatures are between the mid-70's to mid-80's.  The low end of the range occurs with hot and humid, while the high end occurs with hot and dry.  July and August are sunny with few cloudy days and the occasional thunderstorm.

Luckily, here in Austin, we love our central air conditioning, there is a pool at the hotel and we love iced drinks! If you desire, you don't even have to leave the hotel's air-conditioned environment.  Because the hotel air-conditioning works so well, we advice bringing a sweater for class as you might get cold!
